Yes. The Lodge upstairs serves as the Bridal Suite when included in a Wedding Package, featuring 5 bedrooms, 5 bathrooms, full-length mirrors, and dress racks for a comfortable and spacious getting-ready space.

Yes, The Bunkhouse serves as the Groom’s Suite when booked as part of select Wedding Packages. featuring two bedrooms, two bathrooms, and a lounge with a coffee and drink station for a relaxing and private getting-ready space.

Yes, our On-site Venue Attendant will be present throughout your wedding day. They oversee all venue-related operations, including lighting, thermostat adjustments, restroom restocking, and ensuring that White Oak Falls tables and chairs are correctly set up.

While they ensure everything runs smoothly at the venue, they do not take the place of a wedding planner. This allows you and your planner to focus on creating an unforgettable experience while we handle the venue logistics.

We are unable to accommodate item drop-offs outside of your reserved rental dates due to our booking schedule. This ensures the space remains organized and prevents any items from being misplaced or damaged. We appreciate your understanding.

You will finalize your table layout during your pre-wedding meeting with us, which takes place 1 week before your event. At this meeting, we’ll also review your day-of schedule and other important details to ensure everything runs smoothly.

Decorations

Yes, we provide tables, chairs, and linens for your event. This includes 27 round tables (60” diameter) with seating up to 6 guests each (162 guests total), 10 rectangular tables (6’), which are ideal for buffet or serving setups, 160 padded white chairs, and white tablecloths for all tables.

We offer a few props for your event, including a wedding guest book table in The Venue and a ceremonial arbor for outdoor ceremonies. These are included with your venue rental and can be styled to fit your unique vision.

You are welcome to decorate The Venue as long as no permanent damage is caused. We ask that any fastening methods be pre-approved by the event owner.

Yes, real flower petals are allowed, as they are environmentally friendly. However, silk or artificial petals are not permitted to help protect and preserve our natural surroundings.

Only flameless or LED candles are permitted indoors and outdoors. Open flame candles are not allowed due to fire safety and the natural wooded surroundings at White Oak Falls.

No. Glitter and confetti are not permitted, as they are difficult to clean and can impact the natural environment at White Oak Falls.

Yes, we have a large tent available to accommodate your event needs.

All start and end times are listed on your contract and in the Wedding Packages.

Vendors

Yes. We maintain an open vendor policy, allowing you to work with your preferred vendors as long as they carry proper insurance and provide a certificate of insurance (COI).

We encourage couples to choose vendors that best fit their vision. For bartending services, we can provide contact information for a trusted professional familiar with White Oak Falls and our venue requirements.

No, we do not provide catering. Couples booking a Wedding Package have access to the catering prep kitchen in The Lodge, which includes a refrigerator, freezer, double oven, ample counter space, and a dedicated entrance for easy loading and unloading. Caterers must follow Venue Kitchen Guidelines.

Yes. Live bands, musicians, and DJs are welcome. Performances inside The Venue may depend on space and setup, while Wedding Packages also allow entertainment in the covered area behind The Lodge. or Bunkhouse. Please provide advance notice so we can prepare accordingly.

We do not provide an officiant.

All décor and rentals must be delivered and picked up within your scheduled rental period. Events conclude at 10:00 pm and all guests and vendors must depart by 11:00 pm. Outside your rental window, staff availability cannot be guaranteed and storage space is limited.

We do not provide on-site security, and additional security is not required. We recommend assigning a trusted friend or family member to secure personal valuables, as White Oak Falls cannot be responsible for lost or stolen items.

Booking Your Wedding

No. We host only one wedding or event at a time so you have our full attention and the property to yourselves. Tours are not scheduled during your rental period, allowing you and your guests to enjoy the space without interruption.

Tours are available by appointment only so we can provide dedicated time to walk you through our property and answer your questions. Please schedule a tour or contact us in advance to plan your visit.

We are currently working on providing a virtual tour of The Venue. In the meantime, virtual tours of The Lodge and The Cedar Cabin are available, giving you a glimpse of our property’s beauty and charm.

Yes, if you have a 2-day rental, you’ll have access to The Venue the day before your event, making it the perfect time for your wedding rehearsal. For 1-day rentals, access begins at 8:00 am on the day of your event.

Our pricing does not change if you choose to have your ceremony offsite and only host your reception at White Oak Falls, as we only host one wedding or event per day.

Reserving your date is easy! Simply email us your name, preferred date, and a backup date if available, and we will guide you through our paperless online contract process. Your date is secured once the contract is signed and the first invoice is paid, as we do not hold dates without a completed booking.

Yes. A 20% non-refundable security deposit and a signed contract are required to secure your date. We do not hold dates without both the completed contract and deposit.

The remaining balance is due on the 1st day of the month of your scheduled event. No additional payments are required prior to that date.

Yes. Wedding event insurance is required with at least $1,000,000 in liability coverage. If alcohol is served, Host Liquor Liability must be included, and White Oak Falls Outdoors must be listed as the certificate holder. For 2-day rentals, coverage must apply to both days. Event Helper is a good option for securing affordable and reliable coverage.

Written notice is required to reschedule, and a new date must be selected at least six months before the original event date. All payments will transfer to the new date, and a $250 non-refundable rescheduling fee will apply.

If you cancel your wedding date, the 20% non-refundable security deposit will be held, and all other payments will be returned.

Yes. We offer a $250 military discount on venue rentals or packages. To qualify, at least one member of the couple must be actively serving in the United States armed forces at the time of booking. Please submit the Military Discount form and a Military ID to receive the discount.

We host many different types of events including bridal showers, baby showers, wedding rehearsal dinners, wedding ceremonies, wedding receptions, bridal luncheons, family reunions, birthday parties, graduation celebrations, wedding anniversary celebrations, memorial gatherings, business meetings, hunting trips and many other types of gatherings.

Planning & Policies

No, We do not offer wedding planning services. Our On-site Venue Attendant will assist with your layout and the flow of your day, and will be present during your wedding to oversee venue operations. This includes managing lighting, thermostat adjustments, restroom restocking, and ensuring White Oak Falls tables, chairs, and linens are properly set up. While they keep the venue running smoothly, they do not replace a wedding planner.

Yes. Couples who book their wedding may take bridal and engagement photos on the property. Engagement sessions are included with all wedding packages and may be scheduled for up to 2 hours, based on availability. Sessions are not scheduled on event or hunting days and must be arranged at least 30 days in advance.

If you book a 2-day rental, you’ll have access to set up the day before your event, giving you extra time to prepare and personalize the space.

Your contract outlines your specific rental start and end times. By the end time, all décor must be removed and all guests and vendors must depart. Events conclude at 10:00 pm, and the property must be vacated by 11:00 pm. We recommend ending your reception at least 1 hour before your final departure time to allow for cleanup.

You have flexibility to choose your ceremony start time within your rental period. We recommend coordinating with your photographer to consider sunset timing and natural lighting for the best photos, especially during golden hour.

Your contract outlines your specific end time. Events conclude at 10:00 pm, and all guests and vendors must depart by 11:00 pm. We recommend ending your reception at least 1 hour before your departure time to allow for cleanup and personal item collection. If alcohol is served, consider a last call 30 minutes before your grand exit.

Couples and their vendors are responsible for cleaning and returning all spaces to their original condition before departure. This includes removing all décor and personal items, disposing of trash, cleaning surfaces, and restoring furniture and outdoor areas. Caterers must clean the kitchen and remove all food and related waste. All cleanup must be completed within your rental period. Failure to follow venue guidelines may result in an additional $800 cleaning fee.

You may bring your own alcohol; however, it must be served by a licensed and approved ABC bartender with a valid Tennessee bartender’s license. We can provide contacts for licensed bartenders. Service must end at least 30 minutes before your event concludes at 10:00 pm. Host Liquor Liability coverage is required as part of your event insurance. Hard liquor is permitted with an off-duty police officer or approved security present. Shots and glass-bottled beer are not allowed, and alcohol deliveries may only be accepted on the day of your event.

Smoking and vaping are not permitted indoors. Outdoor smoking is allowed only in designated areas near the parking lot. Smoking is prohibited near buildings, wooded or meadow areas, and farm equipment. Please use the provided receptacles for proper disposal.

Yes. Outdoor sparkler sendoffs are permitted, with sparklers up to 20 inches in length. Sparklers must be used outside only, and galvanized sand buckets are provided for safe disposal.

No. Fireworks are not permitted due to fire safety and the natural wooded surroundings at White Oak Falls. Outdoor sparkler sendoffs are allowed in accordance with venue guidelines.

No. Lantern releases are not permitted, as they create debris and pose environmental and fire safety concerns in our wooded setting.

Yes. On your wedding day, you may take photos throughout the property, which offers a variety of scenic backdrops and natural settings. We ask that all areas be respected and left in their original condition.

Pets are welcome with prior approval from the Venue Owner. We understand they are cherished members of your family and are happy to accommodate them with advance notice.

No. Vehicles may not be left overnight for safety and logistical reasons. We recommend arranging transportation in advance for any guests who may need it.

Accommodations & Travel

On-site accommodations are available for the wedding party and close guests with select Wedding Packages. The Lodge, The Bunkhouse, and The Cabin provide a comfortable and convenient stay, allowing you to relax and enjoy your event without having to leave the property.

Yes. The Lodge and Cabins at Pickwick Landing State Park offer nearby lakefront accommodations just a short drive from White Oak Falls, providing a comfortable and scenic option for guests wishing to stay in the area.

White Oak Falls is centrally located, making it easily accessible from several major cities. We are approximately 2 hours from Nashville, TN, 2 hours from Huntsville, AL, and 2.5 hours from Memphis, TN. Our convenient location makes it an ideal destination for guests traveling from various areas.

The most convenient airport for guests is Nashville International Airport (BNA), located about 2 hours and 15 minutes away. Memphis International Airport (MEM) is another option, approximately 2 hours and 30 minutes from White Oak Falls.
